Role Summary

The role of the NDIS Administrator is to ensure that all quotes, agreements, plans bookings, services, claims and financial reports for the disability business unit are completed effectively, efficiently and with great accuracy and quality. The role works within our finance team, liaising with external stakeholders and internal managers on a wide range of reporting, finance and administrative duties. The role plays a crucial part in facilitating the timely and quality flow of information between St Jude's and the administrative body for the NDIS, the NDIA.

Responsibilities and Duties

  • Ensuring that invoices and claims are processed and submitted to the NDIS, plan managers and self-managed participants in line with NDIS Practice Standards and guidelines to meet internal reporting requirements.
  • Preparing quotes, setting up clients internally, creating service and accommodation agreements following up to ensure these are signed and returned
  • Monitoring service agreements, consent forms, expired/expiring plans and liaising with internal stakeholders to ensure the continuation of services for participants. 
  • Assist with audits, incident reporting and compliance checks
  • Prepare and process NDIS claims via the NDIS Portal or relevant software
  • Reconcile invoice and assist with payment follow ups
  • Liaise with support coordinators, plan managers, allied health providers and NDIA

Skills, Attributes and Experience

  • Previous administrative experience (NDIS or disability sector highly desirable)
  • Understanding of the NDIS framework, plans, and funding structures
  • Strong organisational and time‑management skills
  • High attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Intermediate computer skills (Microsoft Office, CRM systems)
